Operations Coordinator for Student Advocacy and Support Services

Part-Time, 12-Month Employee

The Operations Coordinator for Student Advocacy and Support Services reports to the Director of Student Advocacy and Support Services. The Coordinator plays a key role in ensuring a positive, welcoming experience for all members of the school community, and allows the Director to effectively manage his or her workload, toward the goal of expedient and consistent follow-through across a range of duties and assignments. The Coordinator also provides administrative support to the staff assigned to the Student Advocacy and Support Services Department. The Coordinator may provide administrative support in other areas as requested by the Director.

Key Responsibilities

  • Manage and update database systems and spreadsheets with student progress monitoring data, once collected by Student Advocacy and Support Services staff.

  • Enter required data, documents, and narrative information into the Ohio Department of Education and Workforce Scholarship website, and ensure all information is updated in a timely fashion.

  • Manage contacts with various school districts to ensure all aspects of Student Scholarship applications are current and accurate. Communicates issues to the Director and Business Office as appropriate.

  • Handle scholarship billing and checks.

  • Complete monthly billing on ODE website for each student with a scholarship.

  • Open, sort, alphabetize, copy, and scan scholarship checks received.

  • All administrative functions as needed (mass photocopies, scanning, phone calls, mail, main office coverage)

  • Performs other work-related duties as assigned.


Minimum Qualifications

  • High school diploma required; bachelor’s degree preferred.

  • Strong written, verbal, organizational, and interpersonal skills.

  • Attention to detail/accuracy, timely implementation, and quality performance

  • A minimum of 2 years previous office experience required, with experience in a school office strongly preferred.

  • Proficiency in the use of office technology, strong typing skills, excellent database and spreadsheet management knowledge. Strong computer skills, including Microsoft Office Suite and Google Applications.

  • Excellent phone and personal manner.

  • Consistently exercises discretion and judgment.
